Event Assistance

Hosting an event on-campus means more than just booking the space. There are a variety of services available to support and enhance your event -- from sprinkler shut-offs, to clean-up before and after, to stage and barbeque rentals. The staff in Conference & Event Services, Custodial Services, and Grounds & Landscape Services know what it takes to prepare your venue and accommodate your guests.

Outside Groups

UC Davis welcomes outside groups to host their events on campus. Conference & Event Services (CES) provides full service event planning and registration services. They specialize in corporate, athletic, and special events, and offer logistical planning, on-site coordination, and all the amenities of the campus. All special event services, including set up, clean up, special equipment, etc., are scheduled through your CES event planner, who will provide rates, cost estimates and invoicing as part of your event service.

Campus Groups

Campus groups, including departments and student groups, must place a work order for Custodial or Grounds & Landscape services related to their on-campus events. Because of budget limitations, there is a charge for event support services to campus departments, and this needs to be accounted for in your event budget.


You do not need to place a work order for events held in any of the following facilities, where you will work directly with the facility manager to arrange event support services:

  • ARC Ballrooms
  • ARC Pavilion
  • Alumni Center
  • Freeborn Hall
  • Memorial Union
  • Putah Creek Lodge
  • Rec Pool Lodge
  • The Silo

Outdoor Event Services

Grounds & Landscape Services manages the site prep and clean-up for outdoor events.

Here are some of the most popular services provided by Grounds & Landscape Services for outdoor events:

  • Zero Waste and trash bin set-up and removal
  • BBQ rentals
  • Stage rentals
  • Riser rentals
  • Irrigation shut-off
  • ‘To Scale’ space plans
  • Power washing
  • Leaf blowing
  • Lawn mowing
  • Plant trimming
  • Weed spraying
  • Bike rack repair or removal
  • Pavement repair
  • Bollard removal
  • Safety cone set-up
  • Additional trash removal

Rates for Event Services

Event services are provided to campus departments and student groups on a recharge basis. Rates are established through the campus rate approval process. Fee estimates are based on the number attendees expected.

NOTE: The rates below apply to internal campus departments. A non-university differential (NUD) charge is applied when outside organizations hold events on campus. (NUD details) Contact Conference & Event Services about cost estimates.

How to Order Event Support Services

Please place requests for event-related services at least two weeks in advance through the online work order system. Include all of the following information:

  • Your name
  • Phone number
  • Date of event
  • Time frame of event, including set-up and clean-up time
  • Start and end time of the event itself
  • Departmental recharge number (4 or 7 digits)
  • Specifics about what you need done, such as:
    • Zero waste set-up and removal (strongly encouraged)
    • Site preparation and clean-up
    • Stage and/or riser rental
    • BBQ rental
    • Adjusted watering schedule

After your work order is submitted, a customer support representatives will review your request confirm it via email and/or contact you with any questions.

Last-minute requests

We understand that some campus meetings may be scheduled on fairly short notice. If your event is less than two weeks away, please call Customer Support to make sure that staffing is available to fulfill your request.
